Tune in to PowerPoint 2016

PowerPoint 2016 Audio:

audio-production-smThere are two ways to add audio to a PowerPoint. You can add a pre-recorded file to your slide or presentation or you can record on the presentation. We will look at both methods. If you choose to record an audio, be sure to use a headset and keep the mouth piece above your nostrils to keep any breathing noises off the tape.

Add pre-recorded audio:

  1. Insert
  2. Audio
  3. Audio on my PC
  4. Go to file > choose a file that is one of the file types PowerPoint accepts (i.e. .wav, .mp3, wma, and many more).
  5. Insert
  6. Click on the forward arrow to listen to the file.
  7. Edit:
    1. Audio tools show Format and Playback, choose Playback.
    2. Click on Trim Audio.
    3. Grab the green stopper and drag to where you want it. You can listen and move it until you have it where you want.
    4. Do the same with the red stopper for ending the audio.
    5. Click Ok to save your changes.

Volume:

  1. Choose the volume slide (to the right of Trim Audio) to choose audio level. Anyone listening may also choose their own volume on their device, but if you know it is, say background audio, you might want to lower the volume.
  2. You may either start it automatically or on mouse click, play across slides, loop until stopped, rewind and/or hide during the show. I prefer to hide it but also prefer audio to be done slide by slide. That way, it is easier to change out if you change the slide and/or add slides and it’s easier to record in short bursts. You may also choose to play in background, which will add looping, play across slides and start automatically. This is helpful if you have background audio to go with your voice overs.

Add audio on the slide (record):

  1. Insert Audio > Record Audio  record-audio
  2. Click on red circle to record. Be sure your headset is working properly first. Add a name to the recording. I like to use the slide number and something from the title. (EX: PP-slide1)
  3. Click the square (will be blue) to stop and the arrow (green) to listen to the recording. If you don’t like it, re-record until you get the audio you want.
  4. To edit the recording:
    1. Click on audio file
    2. Click on Playback
  • Click on trim audio  trim-audio
  1. Move the green (start) slider to where you want the audio to start.
  2. Move the red (end) slider to where you want the audio to end.
  3. Click the play button to listen to the audio.
  • Adjust if needed.
  • Click ok to save.

If you want/need to do more extensive editing to your audio, I suggest you download Audacity. Audacity is a free sound recording and editing software from Sourceforge.  I have used for years. It is a wonderful program and I highly recommend it. You can download it here both both Windows and Mac.
